How to add a new Knowledgeone K1 user?

To access Knowledgeone K1 each user requires a User Profile record (which also links to a Person record). To add a new user:

  1. Logon to Knowledgeone K1.
  2. Select the 'User Profile' object (from the icons or by expanding the object list).
    Note: Access to this object can be restricted by your Administrator. If you do not have access to this object please see your Administrator.
  3. You can create a new 'User Profile' or you can copy an existing User as a baseline.
    To create a new record, click the 'Add' method.
    To copy an existing user, select 'Search' and then select 'External ID'. On the list locate the 'User Profile' you wish to copy and click the 'Clone' button.
    Note: Access to methods can be restricted by your Administrator. If you do not have access to certain methods please see your Administrator.
  4. Complete the necessary fields.
    Note: All fields marked with an "*" are mandatory. Mandatory fields are:

    Field

    Description

    External ID

    The external ID is a record identifier. It's commonly used when selecting a record. For a User Profile we recommend using this field for the user's full name.

    Person

    This is a link to a Person record, every user is linked to a Person record which contains their phone number, e-mail address, etc. Click on the link icon (K1 Link Icon) and either 'Select' an existing Person or 'Add' a new Person.

    UserID

    This is the ID entered to access K1 products.

    Password

    The password used to access K1 products.

    SecurityGroup

    The security group defines what objects/tables and what methods/function the user can perform. Security Groups are created and maintained through the use of the K1 DRM. Click on the link icon (K1 Link Icon) and 'Select' an existing Security Group. To add a new Security Group please use the K1 DRM.

    Background

    This is the screen background that will be used by this user. Click on the link icon (K1 Link Icon) and 'Select' an existing Background or 'Add' a new one.
    Note: any graphic file can be added to K1 and used as a background image (for example, your company logo).

    Font

    This is the font that will be used by this user, including it's size and color. Click on the link icon (K1 Link Icon) and 'Select' an existing Font or 'Add' a new one.

    Language

    The is the language that will be used by this user. K1 can support various languages and languages are applied to individual users based on this setting. Some examples are provided with K1. Click on the link icon (K1 Link Icon) and 'Select' an existing Language or 'Add' a new one.  Please refer to the online help for detailed information on adding a language.

    DisplayTableList?

    Default: No. This setting defined whether the object list on the main K1 screen is permanently displayed or not. When set to No, the user can click on the arrow to expand the side menu.

    ReceiveSolicitations

    Default: No. This setting will determine whether the user will receive Solicitations via the Tacit product. Note: Tacit is an optional add-on module for Knowledgeone.

    Administrator?

    Default: No. Read Only. This option is automatically set to No and can not be changed through the K1 client. To make a user an administrator you must use the K1 DRM.

    Security Code

    The security code set which records the user can see. Click on the link icon (K1 Link Icon) and 'Select' an existing Security Code or 'Add' a new one.


  5. Click OK to save your User.

Your User ID is now ready for use.
