Tasports is introducing a new records management system which it says represents state of the art technology. Jeff Garwood, formerly Wharfage Officer in Bell Bay, has been appointed as the new Records Management Officer. Quade Geale, Tasports Information Technology and Communications Manager, says the organization currently has some 140,000 records, scattered around 18 sites. “Legislatively, we have to conform to the Tasmanian Archives Act. But in a business sense, it is also vital that our records are carefully managed.” Tasports has introduced a system developed by the National Archives Office called DIRKs – Design and Implementation of Record Keeping Systems. “Supporting DIRKs is a new tool called Knowledgeone, which is designed to be an enterprise-wide knowledge management system and multi-tasking application solution. Not only does it manage records and documents but it can also manage other business needs such as Asset and Human Resource Management”. With the adoption of the new system, Tasports has centralised its records management out of Bell Bay, where a site has been allocated for records/document management and archiving. Knowledgeone is easy to use and uses the flexibility of the .NET technologies. This means that the software is installed on a centralised server and users are given access via a LAN/WAN or should the need arise, via the internet using a static IP address. Tasports staff will log on to Knowledgeone through Internet Explorer and have access to records for which they have security clearance. Knowledgeone has a multi-tiered security system which means that certain types of records can only be seen by certain staff members.
